Determine the leadership roles and team structure
Those serving in such roles include those sending, those going, and those hosting/receiving
- There will need to be a primary contact person for anyone to call with questions about the trip.
- Larger groups will require a team of leaders. The possible roles may include:
- A Team Administrator, who focuses on finances, scheduling, organization, etc.
- A Team Pastor, who focuses on prayer, devotions, team spiritual growth and overall discipleship.
- It may be helpful to have a leader who focuses on the team and another who focuses on the those receiving the team.
- When serving in multiple ministry areas, the team may need additional leaders:
- Construction leaders
- Intercessors
- Children's Ministry leader
- VBS Director
- Youth Leader
- Worship Leader
- Creative Arts Leader - Drama, mime, etc.
- Another way to look at the team structure is: who will handle each of the different aspects of trip planning?
- Advertising and Promotion
- Finances and accounting
- Fundraising
- Team Building
- Worship
- Construction
- Children's ministry
- Evangelism
- Ordering supplies
- Itineraries and schedules
- Who is responsible for necessities such as:
- Accommodations
- Meals
- Handling daily finances
- Translators
- Transportation
- Daily agenda
- Meeting places
- Etc.
- Clarify decision-making roles, as well as the limits of each role
Many roles can be handled by a single individual or be shared among many people. Utilize each person's gifts and skills, while at the same time helping people to be flexible.
